Virtual Executive Assistant (Remote)

PART-TIME POSITION

Position Overview

This is a part-time position, with the potential to become full-time.  For this role, you will need the ability to work remotely a minimum of 10 hours per week and have availability Monday through Friday, 9:00am-5:00pm in our clients’ respective time zones. 


As an Execly Virtual Executive Assistant, you will directly support our clients and their teams by providing high-quality, executive-level administrative services. You will be expected to execute various tasks and projects in a timely manner, with the utmost quality.  Due to the variety of clients we service, you will be expected to familiarize yourself with their needs and preferences. Your contributions are invaluable as they allow our clients to regain time, free up mental real estate, and focus on their businesses and loved ones.


Responsibilities

Responsibilities will vary based on the individual client, but general duties may include:

  • Managing multiple calendars/schedules

  • Copy-editing, proofreading, and document and presentation formatting

  • Data entry

  • Managing multiple email inboxes

  • Compiling, reconciling receipts, and submitting expense reports

  • Managing inbound and outbound phone calls

  • Transcribing meeting notes/minutes

  • Providing *On-site assistance (e.g., client company retreats and other client company events)

  • Making purchases

  • Researching various topics

  • Securing reservations (e.g., restaurants, massages, etc.)

  • Posting to social media (client’s content)

  • Researching and booking travel

  • Performing a variety of personal and lifestyle management tasks

  • Executing various other executive administrative duties, as needed

*Depending on virtual EA travel availability.


Proficiencies

  • Expense Reporting Platforms (e.g., Concur, Expensify, etc.)

  • Google Suite

  • LastPass or another password-encryption platform

  • Microsoft Office Suite

  • Project/Task Management Platforms (e.g., Asana, Trello, etc.)

  • Video Conferencing Platforms (e.g., Teams, Zoom, etc.)


Requirements

  • Equipment: Computer, reliable private internet network, and a smartphone with email access

  • Minimum Experience: One (1) year administrative or executive assistant experience

  • Preferred Experience: Three (3) years administrative or executive assistant experience

  • Education: Associate or Bachelor’s Degree


Benefits

  • Compensation: Starting at $20 per hour DOE

  • Additional benefits available after probationary period


Note

  • This is a W2 position.
